FieldPilot is operated by Tyrek Grooms ("FieldPilot", "we", "us"). We act as the data controller for the personal data described in this notice. Contact us at privacy@fieldpilot.app for any privacy request.

2. Personal data we collect

• Account data — name, business name, email, login credentials.
• Profile & onboarding data — trade, service area, crew size, lead preferences.
• Customer & lead data you enter — names, contact details, job notes you store in FieldPilot.
• Support messages — anything you send us via chat or email.
• Usage & telemetry — pages visited, features used, device, browser, IP address, log timestamps.
• Cookies — strictly necessary cookies for authentication and session management.

3. Why we use it (purposes & legal basis)

• Create and operate your account — performance of a contract.
• Provide lead-finding, CRM, and AI features — performance of a contract.
• Fraud prevention, security, and abuse detection — legitimate interests.
• Customer support — performance of a contract / legitimate interests.
• Product analytics and improvement — legitimate interests.
• Marketing emails — consent; you can unsubscribe at any time.
• Compliance with legal obligations (tax, accounting) — legal obligation.

4. Who we share data with

• Paddle.com Market Ltd — our Merchant of Record. Paddle handles checkout, payments, billing, sales tax, invoicing, subscription management, and refunds. Payment data is collected and processed by Paddle, not by us.
• Hosting & infrastructure providers — cloud hosting, database, and email delivery vendors operating as our subprocessors.
• AI providers — model providers that process prompts and content to power AI features.
• Professional advisers — legal, accounting, and tax advisers where necessary.
• Authorities — where required by law or to protect our rights.

5. International transfers

Some of our providers are located outside your country. Where data is transferred internationally we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

6. Retention

We retain account and customer data for as long as your account is active, and for a limited period afterward to meet legal, tax, and dispute-resolution obligations. After that, data is deleted or anonymised.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, port, or object to our processing of your personal data, and to withdraw consent. EEA/UK users also have the right to lodge a complaint with their supervisory authority. To exercise any right, email privacy@fieldpilot.app and we will respond within one month.

8. Security

We use appropriate technical and organisational measures including encryption in transit, access controls, and least-privilege permissions to protect your data.

9. Cookies

We use strictly necessary cookies for authentication and session management. We may use limited analytics cookies to understand aggregate usage. You can manage cookies in your browser settings.

10. Changes

We may update this notice from time to time. Material changes will be communicated by email or in-app notice.
